Procedures for Preparing Registration Materials
1 – Committee determines fees and develops draft registration
brochure. Fees should be tiered as discussed in Section V-C of
this Handbook. Brochure must include the following at a minimum:
a. Current Section logo.
b. Name, date, time, location, and description of seminar
or event.
c. Registration form with spaces for name, title, organization,
address, phone, fax, email, and AWWA membership status.
d. Pre-registration deadline.
e. Payment information - Payment may be made using check
or credit card. For credit card, form must include spaces for
name on the card, type of card (VISA, MasterCard, or American
Express are accepted), card number, expiration date, and signature.
All payments are to be sent to the Section Administrator.
f. Number of Continuing Professional Education (CPE)
credits available, if any.
2 – As soon as registration fees have been determined and the
draft registration brochure has been developed, the Committee
Chair or designated committee member sends the draft brochure
to the Website Committee Chair and the Section Administrator for
review. The Website Committee Chair determines if on-line registration
is feasible and discusses any issues with the Committee Chair
or designee.
3 - After receiving review comments and making any changes needed,
the Committee Chair or designee sends a final electronic copy
to the Website Committee Chair and the Section Administrator and
sends the brochure out for printing.
4 - The Committee Chair or designee advises the Website Committee
Chair of the date that the mailing will go out so that the on-line
registration can be available as of that date. At least two weeks
should be allowed between the date that the Website Committee
Chair receives the final brochure and the date that the on-line
registration needs to be available. Also advise of the date for
discontinuing on-line registration. This would coincide with the
close of pre-registration.
5 – The Website Committee develops on-line registration form,
places it and the electronic copy of the final brochure on the
website on the designated date, and removes the on-line registration
form at the end of pre-registration.
The on-line registration system should be utilized for all major
seminars and events. However, in cases where on-line registration
is not possible (joint committees, a determination made during step
2, etc.), the above steps should still be followed, with the exception
that in step 4, only the electronic copy of the final brochure will
be posted on the website. |
