Speaker Expenses for Annual Meeting
1. Registration shall be paid by all persons presenting papers
selected from abstracts at the appropriate rate for member or
non-member, pre-registration or at the meeting, full meeting
or one-day. The Annual meeting Committee Chair is given the
responsibility of informing speakers in advance of the Association
registration fee policy and specifically to inform them of whether
they will be required to pay registration and, if so, the amount.
2. The following shall have registration fees waived:
Any individual invited to speak or to present
papers, regardless of being a member or non-member. (This
does not apply to individuals giving papers in response to
a Call for Papers or otherwise at their request.)

Students who present papers or are participating
in the Student Competition
Members that are invited to speak at luncheons
and who will not attend any other meeting functions
Honorary Members
3. All persons attending as exhibitors shall pay the appropriate
registration fee which may be included as part of the exhibitor
fee.
4. Free meal tickets are provided to (NOTE: THIS IS NOT
APPLICABLE FOR FULL REGISTRATION) :
A member or non-member invited to speak during
a meal
Non-members invited to speak or to present papers
for the luncheon on the day of the speech or paper
American Water Works Representative and spouse
Student Paper Award winner and spouse for the
appropriate meal only if winner's expenses are not being paid
by an employer
Top Ops team members and coaches
B. Speaker Expenses for Other than the Annual Meeting
1. Registration fees for speakers at training sessions, workshops,
and seminars sponsored by the Section will be waived. No honoraria
will be offered to Virginia Section Members who speak or otherwise
participate in any Section-sponsored function.
2. Reimbursements to motivational speakers and other professionals,
i.e., legal, personnel, and management consultants would be
considered on a case-by-case basis.
3. Reimbursements to AWWA officers and employees should be
considered and approved on a case-by-case basis by the appropriate
member of the Virginia Section AWWA Board of Trustees.
4. Up to 5% of the total budget associated with a seminar,
training session, or workshop may be approved for speaker expenses
and honoraria by the Committee Chair after submittal to the
responsible Trustee for approval. All expenses to be reimbursed
should be documented by appropriate detailed receipts prior
to reimbursement. Before the 5% limitation can be exceeded,
the committee must obtain the approval of the appropriate Trustee
and/or the entire Board.
NOTE: Paragraph 4 does not apply to the Program Committee.
